Terms, Conditions & Privacy Policy
1. SUMMARY OF RENTAL CONDITIONS:
This document contains a brief summary of the rental conditions for HaulVans Van & Truck Rental. The full details of the HaulVans rental agreement will and do apply. All monies quoted are in US dollars.
2. RENTAL EXTENSION:
If the renter wishes to extend the rental whilst on rental, they must obtain authorization from HaulVans. Rental extension is subject to fleet availability. The extra cost (Gross Rate) of an extended rental must be paid by credit card via telephone, at a HaulVans Rental Office Branch or within the electronic rental platform immediately upon confirmation of the rental extension. All extensions are treated as a “booking amendment” and the booking amendment conditions will apply. Rental Charges: Rental Charges are calculated on a ‘per day basis.
3. ONE-WAY RENTALS
One-way rentals are not available.
4. HAULVANS RENTAL OFFICES AND OFFICE HOURS:
A HaulVans rental location may be upon arrangement but are not guaranteed to be staffed during or after normal business hours as our operations are primarily contactless and online only. We can be reached at 888-898-3378. Rental Offices and hone support will be closed or limited availability on the following public holidays: Easter Sunday, Memorial Day, Labor Day, Thanksgiving Day, Christmas Day, New Year’s Day
5. VEHICLE COLLECTION AND RETURN:
Vehicles can be collected seven days a week between 7:00am and 11:30pm unless a different time has been specified in writing by HaulVans. Vehicles must be returned by the time listed on your rental agreement/reservation, or will be subject to fees listed in part 7 of this agreement.
6. MILEAGE:
All mileage allowances are listed on your rental agreement. If the vehicle is to be driven out of state, then the “UNLIMITED MILEAGE” Extra must be purchased for each of your rental days. If the vehicle is found to have traveled outside of the state, using our tracking and telematics, you will be charged the “UNLIMITED MILEAGE” extra upon return of the vehicle. There is no refund for any unused miles. Excess miles are charged at $0.39 per mile upon return of vehicle.
7. TRANSFERS:
Vehicles must be collected and returned to our rental location listed in your rental agreement (no direct on premises airport returns are permitted). Failure to return to your HaulVans rental location may result in a relocation fee being charged or up to $500.00. Transfers to and from HaulVans rental locations are not included in the rental price. It is the renter’s responsibility to get to and from the rental return location listed on your rental agreement.
8. PAYMENT AT RENTAL OFFICES:
For security reasons, HaulVans will only allow accepted credit or debit cards for rental charges, paid on vehicle pick up or drop off. Cash payments will not be accepted at rental offices/locations. The deposit and listed charges will be authorized against your credit card, there is no exception to this condition.
9. EXCHANGE RATE / CURRENCY VARIATIONS:
All credit card transactions are conducted in US Dollars. Due to exchange rate fluctuations, there could be some variance in the amount refunded compared to the amount initially charged. HaulVans does not accept any liability for variances up or down. Refunds by credit card can take up to 15 working days depending on the renter’s Financial Institution.
10. DRIVER’S LICENSE AND MINIMUM AGE:
A current and full motor vehicle driver’s license is required. If the driver’s license is not in the English language then an international driver’s license is also required. An accredited English translation will be accepted in lieu of an international driving permit. The driver’s license must have been held for at least one year and be valid for the whole length of the rental. The original driver’s license must be uploaded at or before time of pick-up when the driver is present. Drivers must be 25 years of age or over. Age exceptions may be made for a fee at the sole discretion of HaulVans.
11. VEHICLE OPERATION:
Before pick up of the vehicle it is recommended that research be done on your part regarding operation of the vehicle you are renting. Our staff will not be available to orient you with your rental vehicle. This includes all the interior and exterior features of the vehicle.
12. TRAVEL RESTRICTIONS:
HaulVans reserves the right at its sole discretion to restrict vehicle movements in certain areas due to adverse road or weather conditions, and the distance to nominated destinations in relation to the length of the rental period. Underground parking, parking garages, drive-thru’s: To prevent overhead damage, HaulVans vehicles are not allowed in any parking structures or drive-thru’s. Death Valley and other desert areas: Vehicles are not allowed to operate in Death Valley and other desert areas from 15 May to 15 September due to extremely high temperatures, which can cause system failures. At other times, clients visit these areas at their own risk and are thus responsible for all recovery and other charges. During certain periods, these areas are not habitable and could pose a danger to the driver and passengers. Mexico, Alaska, Yukon and Northwest Territories & Newfoundland: Travel to Mexico, Alaska, Yukon and Northwest Territories & Newfoundland is strictly prohibited, unless explicit written permission is granted from an owner of HaulVans. Coachella/Burning Man Festival: It is strictly prohibited to take a HaulVans vehicle to festivals where damage and difficulty in retrieval and return could occur. All vehicles are GPS tracked. Any vehicle having traveled to Black Rock Desert, Nevada will be charged a cleaning fee of up to $5000.
13. CHANGE OF DROP-OFF DESTINATION:
If the renter wishes to change the drop off destination after the rental has commenced, they first must obtain authorization from the HaulVans support team. Subject to the change being approved, an additional charge may be assessed.
14. REPAIRS:
Repairs up to $75 may be affected without authorization and will be reimbursed unless the damage is caused by the renter. For amounts over $75, HaulVans will need to be informed in advance.
15. INFRINGEMENTS AND ADMINISTRATION FEES:
The renter is responsible for paying the charging authorities directly for all parking citations, tolls, fines for toll evasion, and other fees, fines and penalties assessed against the renter, HaulVans, or the Vehicle during this rental. Such charges are referred to in this Agreement as “Citations.” If HaulVans is notified that HaulVans may be responsible for payment of a Citation, the renter will pay HaulVans for all amounts HaulVans pays on the renters behalf, and, in addition, pay HaulVans a processing fee of up to $50 for each such notice.
16. LIMIT OF LIABILITY:
In the event of no alternative vehicle being available to the renter HaulVans’s liability is limited to a refund of the hire charge or in the case of mechanical failure (unless caused by the renter) the remainder of the hire period.
17. IMPORTANT:
HaulVans reserves the right to refuse any rental at our discretion.
18. ANIMALS:
Registered service dogs are permitted to travel in HaulVans vehicles with prior permission from HaulVans and a fee paid. Any other animal is not permitted, and will incur a cleaning fee.
19. SMOKING:
Smoking is not permitted in HaulVans vehicles. A $250 cleaning fee will apply and be charged to the renter’s credit card upon return of the vehicle if smoke/cannabis/vape odor is present.
20. CANCELLATION FEES:
50% of the total cost of the reservation will be charged as a deposit, refundable up to 15 days prior to the date of travel. In the event of a cancellation within 15 days prior to the date of travel, this money converts into the cancellation fee. Please note: If you have booked through a travel agent, their cancellation terms will apply in addition. Full payment is required 15 days prior to the date of travel and is not refundable from that point forward. If cancelled on the day of pick-up or no show – 100% of the rental cost will apply. No refunds can be given for early returns.
21. TRAVEL INSURANCE:
HaulVans strongly recommends that the renter purchase a comprehensive travel insurance policy prior to travel in the USA through a reputable provider.
22. STANDARD LIABILITY: HaulVans’ rental charge does NOT include:

Basic liability insurance as required by US law with each rental.

Standard Insurance for damage to the HaulVans vehicle.
Additional coverage options:
CDW- Basic (Collision Damage Waiver) with $750 Excess/Deductible on the vehicle is available at $29 per night. A Deposit of $1500 will be authorized against your credit card at the time of collection of your vehicle.
CDW- Premium (Collision damage Waiver) with $250 Excess/Deductible on the vehicle is available at $37 per night. A Deposit of $1500 will be authorized against your credit card at the time of collection of your vehicle.
23. DEPOSIT:
The Deposit will be any where from $300.00 to $1000 as outlined in the standard liability and additional insurance option section. The Deposit will be charged against the credit card upon collection of the vehicle. The Deposit will automatically be released back onto your credit card within 10 working days from the day you dropped off your vehicle. The number of days until the amount is released will depend on your Bank’s Conditions. If there is damage to the vehicle on its return, the Deposit will be used to cover the cost of such damage up to the amount of the relevant Liability. However, if the terms of the Rental Agreement & Terms and Conditions/Policies are breached and the Deposit is insufficient to cover the damage, then any extra cost will be charged.
25. FULL RESPONSIBILITY:
At all times the renter is responsible for: Damage caused where the terms of Rental Agreement have been breached; Damage caused by negligence; Damage caused to the Vehicle in any way by part or total water submersion or salt water; Damage caused due to a single vehicle roll over; Damage caused to the Vehicle by the renter’s willful conduct; Damage caused to the Vehicle when using the Vehicle in contravention of any legislation or regulation controlling vehicular traffic; Damage or loss caused to any personal belongings; Damage caused due to use of incorrect or contaminated fuel; Damage to roof-mounted air condition unit, overhead, underbody and wheel(s) of the Vehicle.
26. PRIVACY POLICY:
Data Sharing
• Customer data is not shared with 3rd parties for promotional or marketing purposes.
• Mobile opt-in and consent are never shared with anyone for any purpose. Any information sharing that may be mentioned elsewhere in this policy excludes mobile opt-in data.
27. MESSAGING TERMS & CONDITIONS
•By providing your phone number and agreeing to receive texts, you consent to receive text messages from H&H Southern California, LLC dba HaulVans Van & truck Rental, from 8888983378, 6193028846 or another phone number associated with the company; regarding account notifications, customer care, delivery notifications. You can cancel the SMS service at any time. Just text "STOP" to the short code. After you send the SMS message "STOP" to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us. If you want to join again, just sign up as you did the first time and we will start sending SMS messages to you again.
